Workspace Files

Store, organize, and share files in a Cadense workspace — folders, uploads, moving, archiving, and downloads

The Files page in a workspace is where invoices, supporting documents, exports, and generated files live. Files are shared across the workspace and can be referenced by workflows.

Folders

Organize files into folders. Folders can be nested, and the breadcrumb trail shows where you are.

  • Create a folder from the "New folder" action. Names cannot contain path separators or dot segments.
  • Navigate by clicking a folder row; the URL carries the current folder (?folderId=) so it survives reload and back/forward.
  • Move files or folders into another folder from the row menu.
  • Archive a folder (soft-delete) — its contents are archived with it and can be restored.
  • Download a folder as a zip from the row menu; folder downloads include descendant files.

Folder and file operations are permission-aware. Members with read-only access can browse and download, but the create, move, and archive controls are hidden for them.

Uploading files

Upload files with the Upload action or by creating a new file. Uploads land in the folder you are currently viewing. They are sent to the workspace files API, which writes them to the configured object storage — or the local filesystem when no cloud storage is set.

Individual files are capped at 100 MB. See Object Storage for self-hosted storage configuration.

Downloading

Download a single file from its row menu, or select files and folders to download them together as a zip; folder selections include their descendant files. A zip download is capped at 1,000 files and 500 MB total — larger selections are rejected rather than truncated.

Archiving and restoring

Deleting a file or folder soft-deletes (archives) it rather than removing it immediately. Archived items can be restored. Archiving a folder recursively archives its descendants; restoring a folder restores them (re-parenting to the root if the original parent is still archived).

Generated files

Files produced during workflow execution — a File block file_write output, a compressed archive, an extracted document, or a copilot-generated attachment — are stored as workspace files and appear on the Files page alongside uploads. They are permission-aware and can be downloaded, moved, or archived like any other file.

Using files in workflows

Workspace files can feed workflow blocks. The File block reads, writes, appends, compresses, and decompresses workspace files, and file outputs from one block can be passed to upload integrations. See Passing Files for how files flow between blocks.

Invoice and banking attachments use the same underlying file storage but are managed from their own AP surfaces (Invoices and Banking), not the workspace Files page.
